Position: Admin. Executive (Management role experience preferred)
Location: Ernakulam

Job Summary:
We are looking for someone who can fit into the role of an
admin executive. The ideal candidates are the ones who can fulfill all the
roles and responsibilities as well as match the eligibility criteria.
Eventually, providing support in every workplace administration activity on a
regular basis. They will be accountable for office management, helping improve
company procedures, and ensuring the smooth running of regular activities.
1. Arranging new properties and premises, monitoring for Ernakulam and nearby branches etc.
2. Collecting agreements from HO and getting signature from parties.
3. Arranging Building tax/Permit/Trade License, other govt. licenses / approvals/permits and its timely renewals
4. Building/office/branch shifting/relocation as per the specified time.
5. Purchase/sourcing of new furniture’s, new infrastructure facilities, other assets and items for Ernakulam locations.
6. Arrange and Facilitate Necessary building maintenance/Repairs/ and New Infra facilities in coordination with building owners, contractors, department staff & other stakeholders.
7. Asset management of offices, Staff quarters, (including vehicles)
8. Managing, filing, storing important documents like rental agreements, lease contracts, licenses and other relevant documents and ensuring they are securely stored and readily accessible.
9. Managing and monitoring accommodation premises and other properties including allocation, vacating, shifting of staff and arrangement of facilities required.
10. Monitoring and visiting buildings, staff quarters, at regular intervals to ensure safety, hygiene, maintenance and other company policies are followed.
11. Supporting HO for deposit amount collection from building owners while withdrawing from agreements/ vacating the premises.
12. Preparing Monthly data, staff accommodation data status, all new and renewal status of all agreements and other licenses and permits.
13. Collecting rental and other utility bills and ensure timely payment of the same.
Key Result Area
1. Identify and arrange properties for company use.
2. Negotiate and renew agreements for all properties on time.
3. Ensure timely arrangement and renewal of building permits, trade licenses, and other required government approvals.
4. Plan and execute the relocation of offices and premises within specified timeframes.
5. Coordinate for Purchase and provide necessary furniture, infrastructure, and equipment for Ernakulam locations.
